My Payroll Master HRM software comes with a number of convenient features and one among these is the one for setting shift timings and rules. This video explains how to set shift timings and rules with My Payroll Master.
Shift timing and rules settings define the payable hours calculated for an employee when assigning to a shift. My Payroll Master HRM System helps to streamline and automate setting shift timing and rules for employees in a company. This helps to avoid confusions and makes it easier to calculate payable hours.
In this video, we focus on how to configure shift timing and rules in My Payroll Master.
To set up shift timing and rules go to Company Setup -> Click on shift timing and rules -> By using company shift rules, you can create company shift groups ->To create shift policy group, click the New button -> First give Policy Title -> Then select the working days
We also have option to select half-day. You can only give half-day option to the selected working days.
Next is shift time
► Add in-time and out-time. Duration will appear automatically.
► If the in-time is set as 5, the employee can punch till that late in limit.
► This is also applicable for early out limit
► Next set full day minutes. It should not be greater than total duration.
Next is half-day minute. This you can give according to company policy. It should not be greater than full-day minute and total duration.
► And the point to be noted is, if the employee covers the limit for the full day and half day, then only the employee will be shown as present for the day.
► In shift time settings, Next Day option is available for night shift employees.If the in-time has to be set as 18.30 and out time as 3.00, this will be possible only after clicking the Next day option. The employee working in Next Day option for this timing will be shown as present in that particular day.
Next is shift rules, which is set according to company policy.
'Leave Year' and 'Financial Year' are the next part. Whether a Leave Year is a calendar year or financial year depends on the company policy. The financial year is also decided by the company rule. Add these information accordingly. Once finished, click on the 'Save' button.
►For example, multi-shift option is enabled for hospitality, security etc.When you enable multi-shift option, two other options will appear. Number of shifts and balance considered as monthly working balance.
► First is number of shifts. If number of shifts is marked as two, and the employee work for full day minutes, then it will show employee’s working day as two.
► Balance is considered as monthly working balance. If you work more than full day minutes, it is considered as monthly working balance. It can either be selected as OT, Compoff and None of the above. If you are selecting OT, the balance working time will be considered as overtime.
Next is how to fix overtime for employees
►It can be either selected as Overtime-Minimum time after shift or overtime minimum time before shift or both together
► Minimum time after shift-If we give 30 as time after shift, OT will be considered only after 30 minutes.
► If you work for 29 minutes, it won't be considered as OT. Same rule is applicable for minimum time before shift
► Next select salary component for OT, like bonus, performance incentives, advances, professional tax, tds, PF, ESI etc.
►Next is working on off-day. If the employee worked on off day, that is on a holiday or week off, you can consider that as OT or compensatory off
► Next option is shift allowance. Shift allowance is additional payment given to an employee for their working days like shift allowance, bonus etc.
Next is exceptions. When you select this, options will appear
The selected working days will only appear in exemption days -> First select the day. Then set the exceptions in time and out time -> For example, first set normal working days -> Set the full-day minutes, give the half-day minutes -> Then give exception in-time and out-time -> So for exception days our working hours will be given in exceptional duration -> Then select week off -> If you select Ist, this exception condition it will work on that month’s first Mondays only -> If select All, this condition will work on all Mondays of that moths ->Once done, click Save
This shift timing is set for employees applicable for shift roles.
